Employers are supposed to declare and pay contributions to the Unemployment Insurance Fund (UIF) on behalf of their employees. If an employee works 24 hours a month or more, they have an obligation to contribute towards the unemployment fund. In the event an employee losses their job the fund will support them financially, if they qualify, till they get another job. uFiling online portal enables employers to meet these obligations and recently unemployed contributors to apply for unemployment benefits. This article only covers how employers can use uFiling.
How to Register on uFiling
To register on eFiling, you can be a representative of a commercial employer, a domestic employer, or an employee. In any case, you will be acting in part of the employer or the employee. A company representative can be the owner, a partner, the director, or a member of the company.
Registration Requirements:
For Commercial Employers
To register a commercial employer with uFiling, you must have:
- A valid UIF registration number
- A Republic of South Africa Identity number or passport number of the company representative.
- An official registration name of the company as well as the same details provided in the company registration forms
- Details of the company owner
- Bank account and branch that will be used to pay UIF contributions.
- The company employees’ employment details
- Valid 13 Digit bar-coded South African ID numbers or passport numbers for each of the company’s employees.
For Practitioners
If a company or individual employer outsources the management of UIF contributions to a practitioner, the practitioner may add the client as a user under their practitioner account. A practitioner must have the following documents and information to register with uFiling:
- Your valid UIF registration number.
- Your valid 13 digit bar-coded Republic of South Africa Identity or passport number.
- Official registration name of your company as well as the same details provided in your company registration forms.
- Bank account and branch that will be used to pay UIF contributions.
For Domestic Employers
- Your valid UIF registration number.
- Your valid 13 digit bar-coded Republic of South Africa Identity Number.
- Your valid email address.
- The details of the bank account you will use to pay UIF contributions.
For Foreign Domestic Employers
- Your valid UIF registration number.
- Your valid passport number.
- Your valid email address.
- The details of the bank account you will use to pay UIF contributions.
Registration Process
- On the uFiling website, click on “Register.”
- The page that follows will have terms and conditions of the Unemployment Insurance Fund (UIF). Read and accept them by checking the box that says “Yes” then click “continue.”
- The next page that loads asks for a user name, your personal details and your preferred contact. Click on “Register.”
- You will receive a link to confirm your uFiling account as well as a One-Time-Pin (OTP) through the contact you submit.
- Click on the link to activate your account.
- Use the username you provided and OTP to log in to your new account.
- On your first log in, you will be asked to create a new password and a hint for it. Click on “Apply” when you are done.
- Next, a pop up will inform you that you will answer some questions to provide the uFiling portal with more details for your account. Click “Continue.”
- This next step is the vetting process. There are five categories of information you will provide: your physical address, postal address, email address and employers information. Pay keen attention while answering so that you do not fail. If you fail, you will have to contact uFiling support with a copy of your ID, proof of residence, and proof of employment. Click “Update” when you are done.
How to Declare and Pay UIF Contributions on uFiling
Employers should declare their employees’ Unemployment Insurance Fund (UIF) obligations before paying them.
Declaring and Paying an Employees’ UIF Contribution
On the uFiling portal, declaring an employee’s UIF contribution can be done by:
- On the uFiling website, login to your uFiling account using your username and password.
- Once you are logged in, select “Declarations Manager” on your profile.
- Under Declarations Manager, click on the “Employer Name” in the grid.
- The next page is titled “Employment Summary.” Under it, click on “View Declarations.”
- On the View Employer Declarations page, you will see a grid with boxes that have buttons that say “View.” The buttoned are of three kinds representing three statuses; declarations submitted, declarations allowed and declaration issues. Declarations submitted are green which means that in that month you have already submitted your UIF declarations. Declarations allowed are yellow to show that declarations for the month can now be submitted. Declaration issues are red to show a problem with the submission. Click on “View” for the month in which you want to declare UIF contributions.
- A “Return Values” window will pop up. This window gives you an option to edit the declarations before submitting them. Click on “Open Declaration” to edit the details of employees declarations.
- You will be redirected to a page that is also titled “Employment Summary.” On the page, ensure that all declarations are correct. Click on “Edit/View” to edit employee details that are amiss. After you are done, click on “View Declarations.”
- You will be redirected back to the “View Employer Declarations Page.”
- Click on again “View” for the same month to bring back up the “Return Values” pop up window.
- Click on “View UI 7”
- Ensure that all details are correct in this form then click “Back”
- Om the Employer Declarations page, click on “View” for the same month once more then click on “Submit Declarations” in the pop up window.
- A new pop up will ask you if you are sure you want to submit. Click on “Yes.”
- The next window will ask if you want to create a return for the next month. Click “Yes.”
- Click on “Ok” in the next pop up.
- Click on “Calculate Declarations” in the next page. The “View” button for the month you submitted turns green showing your declaration has been submitted.
- To pay ensure your bank account details are in your uFiling account. Then in the Employer Declarations page select “View” for the month you submitted.
- The “Return Value” window will show you your employees’ obligations. Click “Pay” then select your payment options.
- Confirm the payment with your bank.
